Corporate Event Planner
Location: Los Angeles, CA 90071
Contract Duration: 12 Months
Pay Rate: Up to $41.38/hour
Parking: $275/month (employee responsibility)
Position Overview
We are seeking an experienced Corporate Event Planner to support the planning and execution of high-impact meetings and events that align with business priorities, company culture, and associate engagement initiatives. This role requires a strategic thinker who can manage events from concept through completion while ensuring exceptional attendee experiences and operational excellence.
The ideal candidate will possess strong project management skills, experience managing multiple stakeholders, and a proven ability to execute corporate meetings and events of varying size and complexity.
Key Responsibilities
Event Planning & Execution
- Lead the planning and execution of corporate meetings and events from concept to completion.
- Develop event strategies and recommendations that align with business objectives and desired outcomes.
- Manage all event logistics, including:
- Venue selection and management
- Audio/visual and event technology
- Registration and attendee management
- Catering and food & beverage services
- Transportation and accommodations
- Staffing and onsite operations
- Budget planning and management
- Track event success metrics and provide post-event analysis and recommendations.
Vendor & Stakeholder Management
- Source, recommend, negotiate, and manage vendor and venue contracts while balancing cost, service quality, and risk considerations.
- Build and maintain effective relationships with internal business partners, vendors, venues, and key stakeholders.
- Coordinate with cross-functional teams to ensure seamless event execution.
Project & Communication Management
- Manage multiple projects, priorities, timelines, and stakeholders simultaneously.
- Execute multi-channel event initiatives that may include:
- Live events and experiential activations
- Video production
- Social and digital event experiences
- Virtual and hybrid event platforms
- Develop and manage attendee communications, including invitations, registration, pre-event communications, and event-related inquiries.
- Serve as a supporting resource for other Event Planning team members as needed.
Industry Knowledge & Continuous Improvement
- Monitor industry trends, emerging technologies, market rates, and best practices in event planning.
- Research innovative event experiences and engagement strategies.
- Conduct event debriefs and document lessons learned to drive continuous improvement.
- Identify process inefficiencies and implement solutions to improve event operations.
Onsite Event Support
- Oversee onsite event execution and attendee experience.
- Monitor attendance, transportation logistics, travel schedules, and attendee health and safety.
- Troubleshoot issues in real time while exercising sound judgment and professionalism.
Required Qualifications
- Bachelor's degree in Event Management, Hospitality, Marketing, Communications, or related field preferred.
- 3+ years of corporate event planning experience.
- Experience managing multiple events simultaneously in a corporate environment.
- Strong project management and organizational skills.
- Proven ability to manage vendors, budgets, and event logistics.
- Excellent communication and stakeholder management skills.
- Strong problem-solving abilities with sound judgment in moderately complex situations.
- Experience handling confidential and sensitive information.
Technical Skills
- Proficiency with Cvent and event registration platforms.
- Strong knowledge of Microsoft Office Suite.
- Experience with project management tools.
- Familiarity with virtual and hybrid event platforms.
- Working knowledge of event websites and event-related technology.
Working Conditions
- Up to 25% local travel required.
- Ability to stand and walk for extended periods (up to 8 hours per day).
- Flexible schedule required, including occasional evenings, early mornings, weekends, and event hours.
- May be required to drive a personal vehicle to event locations.
- Ability to lift and transport event supplies and materials weighing up to 50 lbs (23 kg).
